BentoPing is a SaaS platform that helps restaurant owners manage and communicate staff schedules, leave requests, and attendance via WhatsApp. We are the data controller for information collected through our platform.

2. Information We Collect

We collect the following types of information:

• Account information: Name, email address, restaurant name, and password when you register
• Staff data: Names and WhatsApp phone numbers of staff members added by restaurant owners
• Schedule data: Rosters, shift times, and weekly/monthly schedules created by restaurant owners
• Leave requests: Leave applications submitted by staff through the platform
• Attendance records: Punch-in timestamps submitted by staff
• Usage data: Pages visited, actions taken, and device/browser information for platform improvement
• Payment information: Processed securely through our payment provider — we do not store card details

3. How We Use Your Information

We use collected information to:

• Operate and deliver BentoPing's core features (scheduling, WhatsApp notifications, leave and attendance management)
• Send schedule, leave, and attendance notifications to staff via WhatsApp on behalf of restaurant owners
• Notify restaurant owners of staff leave requests and punch-ins via WhatsApp
• Process subscription payments
• Provide customer support
• Improve and maintain the platform
• Send service-related emails (account updates, billing, security alerts)

4. WhatsApp Messaging

BentoPing integrates with WhatsApp to deliver schedule and attendance notifications. When a restaurant owner publishes a roster or when a staff member submits a leave or punch-in, relevant parties receive a WhatsApp message. By using BentoPing:

• Restaurant owners confirm they have staff consent to receive WhatsApp messages via BentoPing
• Staff phone numbers are used solely for delivering BentoPing notifications
• We do not use staff phone numbers for marketing or share them with third parties outside of WhatsApp's delivery infrastructure

5. Data Sharing

We do not sell your personal data. We may share data with:

• WhatsApp / Meta: To deliver messages as part of the core service
• Cloud infrastructure providers: For hosting and data storage (e.g., DigitalOcean)
• Payment processors: To handle subscription billing securely
• Legal authorities: Where required by law or to protect our rights

6. Data Storage and Security

Your data is stored on secure servers. We use industry-standard measures including HTTPS encryption, access controls, and regular security reviews. Our backend is built on Spring Boot with a PostgreSQL database. While we take security seriously, no system is 100% immune to risk — please keep your account credentials safe.

7. Data Retention

We retain your account and schedule data for as long as your subscription is active. If you cancel your account, your data is retained for 30 days before permanent deletion. You may request earlier deletion by contacting us.

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Export your data in a portable format

We may update this Privacy Policy from time to time. We will notify you via email or in-app notice. Continued use of BentoPing after changes means you accept the updated policy.
